BBSP-PORTAL-SN-INTEGRATION-001

1. Connection and table preflight BBSP-PORTAL-SN-CONNECTION-001

x_2178161_bbsp

Confirms the credentials authenticate and that all six tables in the data dictionary exist and are readable. Run this first — a CORS or 401 failure here explains every downstream failure.

2. Field mapping reference BBSP-PORTAL-SN-MAPPING-001

The complete form-field to table-field map applied at submission, grouped by target table. This is generated from the same map the submit path uses, so it can never drift from the running code.

3. Round-trip verification BBSP-PORTAL-SN-ROUNDTRIP-001

Renders the selected form off-screen, fills every control with recognisable test data, runs the real submit path, then reads each created record back from ServiceNow and compares it field by field. A field that was silently dropped, truncated or rejected shows as FAIL or MISSING FIELD.

Test records stay in ServiceNow. The scoped REST role has no delete ACL and the developer pack forbids delete functionality, so remove them from the instance manually if they are not wanted.

BBSP-PORTAL-SN-RECORDS-001

ServiceNow records BBSP-PORTAL-SN-RECORDS-LIST-001

Read-only view of what is actually stored in the six x_2178161_bbsp tables. Expand a case to see its Person, Parties, Details, Documents and Transactions. Images are discovered by querying attachments on the Person record and matching the applicant_photo__ and passport_photo__ prefixes — the same way the Immigration Viewer finds them, so a portrait that appears here will appear there.

Portal training

Submit a form correctly the first time.

Use this guide to sign in, move through BBSP forms, correct validation errors, attach scanned documents, report form problems, and handle a duplicate submission.

Account access

Sign up or log on before entering data

Your account identifies who submitted the application and connects the submission to the correct person or organisation.

1

Create an account

Select Create Account from the portal. Enter accurate contact information, create your password, and complete any email verification requested.

2

Select Sign In, use the email address associated with your account, and choose the correct identity type if prompted: Individual or Organisation.

Using a shared computer? Sign out when finished. Never submit under another person’s account because the account is used to identify the submitter.
Keyboard navigation

Move through the form with the Tab key

You can complete the form without repeatedly moving between the keyboard and mouse.

TabMove to the next field or button
Shift+TabMove back one field
SpaceSelect a checkbox or button
Change a list or radio-button option
  1. 1Start at the first field.
Click the field once, or press Tab until it is highlighted.
  2. 2Enter the source form exactly.
Keep spelling, dates, names, and document numbers consistent with the paper or scanned form.
  3. 3Move in order.
Press Tab after each entry. A visible outline shows your current position.
  4. 4Review before submitting.
Use Shift + Tab to return to a previous field and correct it.
Data validation

When the form will not submit

The portal prevents submission when required information is missing or an entry uses the wrong format.

Enter a complete email address, such as name@example.com.
This required field is missing.
  1. 1Read the message beside or below the highlighted field.
  2. 2Select the field and replace the entry with the requested format.
  3. 3For a required field marked *, enter a value or select an option.
  4. 4Press Tab to leave the field. The warning should clear when the value is accepted.
  5. 5Submit again only after all highlighted fields have been corrected.
Do not guess. If the source form does not contain required information, stop and obtain it from the applicant or an authorised source.
Supporting documents

Scan, save, and attach files

Prepare clear, readable files before beginning the submission.

1

Scan the document

Place pages straight in the scanner. Scan every required page in order, including the reverse side when it contains information.

2

Save it locally

Save to a known folder such as Documents or Scanned Forms. Use a clear filename such as LastName_FormC3.pdf.

3

Attach it

Select Choose File, browse to the saved file, select it, and confirm that its filename appears beside the correct attachment field.

Attachment limits

  • Maximum recommended size: 20 MB per file.
  • File type: Follow the formats listed by the field—normally PDF for documents and JPG or PNG for images.
  • One file per attachment field: Select the document matching the field label and complete every required attachment.
Before attaching: Open the saved file and confirm every page is upright, readable, complete, and belongs to the correct applicant. If it exceeds 20 MB, rescan at a lower resolution or use an approved PDF compression tool.
Improve the next version

Report a field or form problem

Use Give Form Feedback when a label, choice, field, instruction, attachment, or validation rule is incorrect.

  1. 1Open the form where the issue occurred.
  2. 2Select Give Form Feedback.
  3. 3Choose the problem type and severity.
  4. 4Select the affected field, or choose general form feedback.
  5. 5Describe what happened and what should change, then submit the feedback.
Protect personal information. Do not include passport numbers or other sensitive data in feedback. Review screenshots first and remove all personal information.
Corrections after submission

If the same data is submitted twice

Do not create another submission for a minor concern unless the processing team directs you to do so.

Submission 1Earlier version — removeTell the team to remove this submission.
Submission 2Latest version — keepThis is the version the system keeps.

Notify the team immediately

Provide both submission reference numbers and clearly state that the first submission should be removed because the records contain the same data.

Keep the latest confirmation

The latest submission is the version retained by the system. Keep its confirmation number as your record.
